Invoice checklist

What should an NDIS provider invoice include?

The NDIS record-keeping guidance lists information providers should include so a plan manager can identify the provider, participant, support and amount being claimed.

Provider details

Include your business name, contact details and Australian Business Number (ABN). If you are legally exempt from quoting an ABN, the NDIS guidance says you may need to provide a valid Statement by a Supplier form.

Participant details

Include the participant's full name and NDIS number. Do not combine services for different participants on the same invoice.

Support and payment details

Include the service date or date range, a clear description of the support, the relevant NDIS support item number, quantity or hours, unit price, claim type where relevant, total amount and GST information if applicable.

For the authoritative requirements, read the NDIS provider record-keeping guidance and the NDIS guide to getting paid.

Provider questions

Avoid common invoice issues.

Where do I send an invoice?

Send provider invoices for My NDIS Plan Manager participants to invoice@myndispm.com.au.

Can I include more than one participant on an invoice?

No. The NDIS record-keeping guidance says providers should use a separate invoice for each participant.

Why might you need more information?

Missing participant details, dates, quantities, item numbers, ABN information or unclear totals may require clarification before an invoice can be processed.

Does sending a complete invoice guarantee payment?

No. A complete invoice helps processing, but payment also depends on the participant's plan, available funding, service agreement, NDIS rules and any required approvals.
